New Administrator menu to manage Organization Trusted Shares
A new administration button has been added next to Manage Organization that allows the Organization Administrator to disable all Recipients of Trusted Shares that belong to the Organization.
Additionally, the Admin can search, filter and see Share Details of all Trusted Shares
One Time Password for Trusted Shares
One Time Password functionality has been added as a policy for Trusted Shares. When enabled, upon attempting to access the Trusted Share the Recipient will be presented with a screen prompting him to request a One Time Password delivered to the recipients email. The code is then emailed to the recipient and the recipient enters this code into the screen.
The OTP is valid for 5 minutes and the Recipient cannot request an additional one until this time period has expired.
As a result the Pin Code feature is deprecated. Also, turning the One Time Password on will disable the Require Login option.
Office Online Document editing from multiple Sources
New functionality has been added when Recipients interact with Office Documents within a Trusted Share or CWP. When a Recipient or Owner attempts to open a document in e-Share in edit mode, e-Share checks to see if the file is locked by some other process. If the file is not locked, e-Share places a lock is places on the file providing editing control to e-Share and disabling native Microsoft editing in the document. e-Share starts an activity timer that tracks the elapsed time from last update made in the document. e-Share users will automatically removed from editing a document if their inactivity time period exceeds the organizations defined time period (default time is 15 minutes)
The new organizational time out settings can be found in Devices Policy as Office Online inactivity period and the Admin can specify the amount of time before the document will be unlocked.
If the Document has not been edited in any way for this time period the following will take place:
- Within a Trusted Share the user will be presented with a pop-up window, notifying him that the Document will auto close in 1 minute.
- In CWP the Document will close after the 15 minute mark and a pop-up window will appear, notifying the user that "The Document has been closed due to inactivity"
Ability to Manage Recipients within a Trusted Share
Added the ability for a Trusted Share Owner to manage Recipients within a Trusted Share. All the trusted share management features that exist within the My Shares page, now are accessible while working inside the trusted share for the trusted share owner. This will alleviate the need for the Owner to go back to the My Shares page every time they need to manage Recipients and will provide a more seamless user experience combined with the Options module for the Trusted Share Policies added in a previous release.
New Audit Events
Two new Audit Events have been added.
- Trusted Share Access is displayed in Audit Events when the Recipients clicks the notification Email to access the Trusted Share and has fully authenticated to and accessed the Trusted Share.
- TOU Displayed is displayed in Audit Events when e-Share displays the Terms Of Use text to a recipient. (Note: the Audit Event is captured before the Recipient takes any action for the TOU, either Accept or Deny).
Data Analytics Settings
A new entry has been added in the Manage Organization page called Data Analytics Settings. This page allows the Admin of an Organization to control audit/analytics data, and enables them to specify a Trusted Share to be used for storing Analytics Data.
- Grant Access for Analytics Data
Enables the capability for the Organization to receive PowerBI analytics dashboards from e-Share.
- Transmit Analytics Data to Me
Enables the capability for audit log data to be transmitted to the organization via a .CSV file through a defined Trusted Share.
