Configuring and using Access Link in eShare
You can now create a trusted share from a file/folder and obtain a link to this trusted share (access link), then send this access link to people to invite them to join/participate that Trusted Share.
Organization administrators will need to assign the Access Link module to a Sharing Policy and the Trusted Share generated from the Access Link will mirror the properties of the Sharing Policy assigned to it. Only one Sharing Policy can have the Access Link module assigned to it.
Sharing Policy creation
In order for the Access Link feature to become available, an organization administrator will need to create a stand-alone Sharing Policy that will be assigned specifically to this feature. To create the Sharing Policy, the administrator will need to navigate to “Admin console” à “Sharing Policies” and create a new Sharing Policy.
Configure the Sharing Policy options based on the organization business needs, eShare suggests enabling a selection of options as best practice,
- View, Edit and (optionally) Download should be allowed.
- Allow files to be uploaded to shared directories and Allow folders to be created to shared directories should be enabled.
- Control upload file types should be configured in a way that blocks file types that are not relevant to the business need the Access Link feature will serve.
- Enable Secure conversation should be enabled to allow collaborators to communicate within the Trusted Share.
- Recipients can invite others, should also be enabled to facilitate a “no friction” flow of adding collaborators in the Trusted Share.
Once the Sharing Policy configuration is completed, assign the “Access Link” module on the Sharing Policy.
(Select the Access Link option from the drop-down menu)
Configuration is now complete, and users can generate Trusted Shares via Access Link.
Using Access Link
To utilize Access Link, users can navigate to the “Cloud Provider” tab of your organization’s eShare Portal, select the relevant SharePoint site and by right clicking on a file/folder, select the “Create Access Link” option.
This will generate a link that the user can provide to external recipients to allow them to generate a Trusted Share and begin collaborating with the Share creator.
