eShare 137 Release Notes
NEW FEATURES
-
Conversion of Microsoft file links to Trusted Share links (requires Secure Mail Gateway)
OneDrive and SharePoint file links that users insert into their Outlook emails can now be converted into eShare Trusted Share links. These native Microsoft links were previously excluded from a Trusted Share. And given most organizations using eShare disable these links, they presented a dead end for the recipients of emails that contained them. A new sharing policy option, “Convert native Microsoft file/folder links in email body to Trusted Share links”, will result in Microsoft links being converted to Trusted Share links and their files/folders added to a Trusted Share. From a sharing policy triggering and evaluation standpoint, Outlook physical attachments and embedded file links are treated equally, and both become Trusted Share links within the email sent to recipients. However, embedded file links are not copied or moved from their current location in OneDrive/SharePoint. Files and folders within a Trusted Share that are attributable to a Microsoft link are shown with an arrow in their file icon to distinguish them from other files.

Independent Terms of Use for Trusted Shares Access and File Access
Sharing policies can now be defined so that Terms of Use (ToU) can be independently presented to users accessing Trusted Shares and the files within those shares. Both the timing of the ToU presentation (never, once, once per browser session, and every time) the ToU language displayed can be independently set to be displayed when a Trusted Share is accessed and when a file within a Trusted Share is accessed. This change provides the organization and the user greater control over when terms of use are presented and what those terms are. This is especially true when sharing policies that require terms of use are mapped to Microsoft sensitivity labels.
-
User selection of Secure Mail body from within Outlook (requires Secure Mail Gateway)
A new add-in for Microsoft Outlook provides clients greater flexibility in protecting the body of emails using the eShare Secure Mail Gateway (SMG). In cases where the sharing polices deployed to SMG protect only the attachments of emails, the Outlook add-in allows the user to indicate to eShare that the email body should also be protected. The add-in, which the organization deploys to Outlook for the benefit of all users, creates a “Secure Body” button in the Outlook ribbon. The button toggles on/off the protection of the email body. The add-in will be available from the Microsoft app store, but also can be provided by your Customer Success Manager. -
ENHANCEMENTS
-
Control file upload types
A new "Presentations” file type has been added under the “Control Upload File Types” option when defining sharing policies and creating Trusted Shares. The file extensions included in the Presentation category are: ppt, pptx, pps, ppsx, odp and key. This provides the organization and user greater control over the file types that are allowed to be uploaded into Trusted Shares by non-owners.
-
Updated SharePoint site names in Cloud Web Portal
In cases where the name of a SharePoint site that has been connected to eShare is changed by the site owner within Microsoft’s SharePoint Online, the site’s name as displayed within the Cloud Provider page of eShare will also be changed.
-
Shareable Links for non-viewable files
“Get Shareable Link” allows Trusted Share users to obtain a link to a file within a Trusted Share and to share this link with other Trusted Share recipients for their viewing. But when a file is not supported for viewing (e.g., database), we now automatically initiate a download of the file to the user’s computer. This allows the user to open the file with an appropriate application. We previously opened the folder within the Trusted Share containing the file, from which the file could be downloaded.
